Duties of the Officers

President

  • Preside at all meetings
  • Oversee all organization activities
  • Act as the official representative for the Salem Rams at all league and official functions or to appoint a representative to do so if unavailable
  • Fill by temporary appointment, any elected office that becomes vacant for any reason
  • Arbitrate all conflicts that may arise between members of the organization
  • Designate all meetings, the time and location
  • Call a special meeting and notify all board members at least 24 hours in advance, except in the case of an emergency at the discretion of the President
  • Shall be responsible for imposing and enforcing any league disciplinary action voted on by the Board
  • Update the constitution by annotating additions, deletions, and changes duly ratified by the membership

 
Vice President Football and Vice President Cheer

  • Perform in the absence of the President, the duties of the President 
  • Participate as an ex-official member of all appointed committees
  • Ascertain that the organizational business remains within the duly ratified Articles of the Constitution.
  • Act as the liaison for the President with the Football Coordinator during the season
  • Participate as an ex-official member of all appointed committees

Treasurer

  • Shall keep and maintain correct amounts of the properties and business transactions of the organization including accounts of its assets, liabilities, receipts, disbursements, gains, losses, capital, and income of any sort and kind, derived by the organization from any of its activities.  Upon demand, the Treasurer, by appointment, shall permit inspection of any and all books or accounts within five business days from such request as a matter of public record
  • Shall promptly deposit all monies and other valuables in the organization’s name of the Salem Rams, to be credited to the depository or bank as shall be chosen by the board, and shall render to the President whenever it is requested by the Board. An account of all transactions as Treasurer, and of the organization
  • All money transactions regardless of amount, will not be paid without a paid receipt
  • Shall monitor all fund raising activities and be responsible for securing all funds for the organization working directly with the Fundraising Coordinator
  • Shall count and total all monies collected at any and all fundraisers, registrations, concession or any time monies are collected and have a witness sign. This is to protect the individual and the organization. The receipt should be kept as a permanent record
  • All expenditures greater than One Hundred dollars ($100) shall be paid by check.  All checks for amounts greater than Five hundred dollars ($500) must have two signatures.  Only the Treasurer and the President is authorized to sign checks.
  • All monies owed to the Salem Rams will be paid by check or cash

Secretary

  • Shall keep a book of minutes of all meetings of the organization with the time and place of holdings, whether regular or special. The names of those present and the proceedings thereof and to include all motions and votes
  • Shall have the by-laws of this organization and shall have said by-laws at all meetings where organization and business is being held
  • Shall give notice of all meetings of the board and other meetings provided for under these by-laws
  • Accomplish those administrative assignments assigned by the President/Board.
  • Prepare or cause to be prepared all correspondence of general nature with the parent representative.
  • Responsible for organizing and coordinating the elements necessary for the proper completion of registrations for football and cheerleading to include any media advertisements necessary with the local media serving the Salem area

Football Coordinator

  • Administer all rules and regulations of the Salem Rams and N.H.Y.F.S.C.
  • Shall act as weigh master who shall conduct the required weigh-ins and birth certificate checks at the initial registration with the assistance of the Head Coaches. Any disputes/concerns regarding weights or birth certificates will be handled discreetly by the Football Coordinator and the President together
  • Act as liaison between team coaches and board
  • Shall be responsible for the coaching staff. Head coach positions shall be submitted to the board for approval by the Football Coordinator
  • Football Coordinator and Head Coaches will submit Asst. Coach Applications to the board for approval.
  • Ensure that no child will be permitted on the practice field without a valid physical form
  • Shall visit the practice fields every night when a practice is being held to oversee the active teams and ensure that no issues exist. Any issues that arise should be reported to the President
  • Ensure that All coaches attend the Coaches clinic held by the State every year
  • First Aid Kits (calling Parkland Medical Center to obtain them)

Game/Event Coordinator

  • At all home games coordinate visiting teams practice location and weigh in times.
  • Present to President for approval, scrimmages coordinated with other Associations.
  • Act as league liaison with Athletic director to coordinate custodial services for all league events.

Cheer Coordinator

  • Responsible for all cheerleading activities that the league may engage in
  • Serve as a liaison between cheerleading teams and the board
  • Shall be responsible for the coaching staff. Head coach positions shall be submitted to the board for approval
  • Cheerleading Coordinator and Head Coach will submit Asst. Coach applications for board approval
  • Maintain complete roster of all members in cheerleading in the Salem Rams Football organization
  • Shall provide other duties as may be described in the by-laws and/or the board not inconsistent with these by-laws
  • Shall visit the practices every night when a practice is being held to oversee the active teams and ensure that no issues exist. Any issues reported should be given to the President
  • Shall oversee the collection of uniforms at the end of season
  • First Aid Kits (calling Parkland Medical Center to obtain them)

Asst. Cheer Coordinator

  • Support the Cheer Coordinator as necessary throughout the entire season. She will assume responsibilities in the absence of the Cheer Coordinator
  • She will serve as the Equipment Mgr in outfitting the squads for uniforms and any other necessary equipment/apparel
  • She will work with the Cheer Coordinator in hiring vendors for the purchase of all equipment such as lollipop pants, bodysuits, sneakers, etc
  • Be responsible for communicating any information/procedures to the Cheer coaches for or in the absence of the Cheer Coordinator throughout the season
  • Any and all matters brought to the attention of the Asst. Cheer Coordinator will be given to the Cheer Coordinator as soon as possible

In the event there is no capable individual to hold this capacity, the position may remain vacant through any given season. In the absence of an Asst. Cheer Coordinator, the Cheer Coordinator would assume all responsibilities for both capacities.

Football Equipment Manager

  • Responsible for equipping each football player with appropriate fitting uniform at the beginning of each season
  • Ensure the proper maintenance and storage of all football uniforms and equipment throughout the season
  • Be responsible for the organization’s shed facility presently located behind the Salem Police Station (and the DPW) used to store uniforms and equipment of the Salem Rams organization
  • Maintain an inventory of all uniforms and equipment for the football teams of the Salem Rams including the ordering of all necessary items as deemed necessary for the safety and soundness of the players
  • Ensure all football equipment is within state and national guidelines in accordance with the constitution’s rules and regulations
  • Responsible for all ordering and budgeting of football equipment/uniforms

Fundraising Coordinators/Chairs

There will be two fundraising chairs, one for football and one for cheer. Each will be responsible for the implementation of the approved fundraising campaigns as decided by the Board. The Chair will have the responsibility for the tally of all fundraising orders and ensure the monies are correct prior to releasing the monies to the treasurer.

  • Responsible to form and coordinate all fundraising activities on an annual basis
  • Develop a fundraising plan and submit to the Board for approval
  • Provide a monthly status report of fundraising progress to the Board
  • Perform any promotional communications needed after review of the Board
  • All fundraising monies will be handed over to the Treasurer in a timely manner to ensure security and accuracy

Concession Manager

  • Responsible for organizing and running all aspects of concessions through the year
  • All concession monies will be handed over to the Treasurer in a timely manner to ensure security and accuracy. Submission to the Treasurer will include an account of money received and money spent, along with original receipts.
  • Shall count and total all monies collected at any and all fundraisers and have a witness sign, and submit the money to the Treasurer. The submission form is to be signed by both the Fundraising Coordinator and the Treasurer. This is to protect the individuals and the organization. The receipt should be kept as a permanent record.
  • A separate bank account will be set up for concession expenses to be used by the concession manager. The balance of the account will not exceed $2,000 at any time. The Concession manager and Asst. Concession Manager will be authorized to sign on the Concession Stand account, individually.

Assistant Concession Manager

  • Support the Concession Manager as necessary throughout the entire season.
  • She will assume responsibilities in the absence of the Concession Manager.
  • A separate bank account will be set up for concession expenses to be used by the Concession managers. The balance of the account will not exceed $2,000 at any time. The Concession Manager and Asst. Concession Manager will be authorized to sign on the Concession Stand account, individually.

Football Registrar

  • Responsible for organizing and coordinating the elements necessary for the proper completion of registrations for football
  • Responsible for the distribution and collection of all required paperwork for each player to participate in the N.H.Y.F.S.C. as a Salem Ram. These forms will include but not be limited to the registration form, physical form, report card, parental release, etc. prior to the beginning of the season
  • Ensure all required paperwork is reviewed and completed properly to the state regional and national standards with the cooperation of the Football Coordinator

Cheerleading Registrar

  • Responsible for organizing and coordinating the elements necessary for the proper completion of registrations for cheerleading.
  • Responsible for the distribution and collection of all required paperwork for each cheerleader to participate in the N.H.Y.F.S.C. as a Salem Ram. These forms will include, but are not limited to the registration form, physical form, report card, and parental release, etc. Prior to the beginning of the season.
  • Ensure all required paperwork is review and completed properly to the state regional and national standards with the cooperation of the Cheerleading Coordinator.
  • Responsible to insure all paperwork for cheerleaders required to be certified and to include report cards is in possession and the child must be paid in full prior to being a Rams member and be issued a uniform.

Scholastic Manager

  • Work closely with the Registrar and Coordinators to ensure all documents required for the state and national relative to the scholastics are met
  • Completion and submission of all scholastic forms to the President for review prior to forwarding to the state coordinator by the set deadlines

Webmaster

  • The Webmaster will be responsible for the regular maintenance of the Salem Rams website ensuring that the site is always current with accurate and up to date information.
  • Duties include renewal of domain name, web site and e-mail accounts renewal, maintain the merchant account
